By submitting registration and making payment to Women Icon, the applicant/participant acknowledges and agrees to the following terms and conditions.
1. Purpose of the Fee
The fee collected by Women Icon is strictly towards promotional, branding, media, publicity, and administrative activities associated with the award recognition process.
The fee covers services including but not limited to:
* Selection confirmation processing
* Digital branding activities
* Poster release and social media promotions
* News/media release activities
* Video release and promotional campaigns
* Nominee profiling and publicity
* Administrative and coordination expenses
* Event management and communication activities
The payment is not collected as a ticket fee for attending the live ceremony alone.
2. Complimentary Nature of Live Event Participation
Participation in the live award ceremony/event is purely complimentary and subject to organizational arrangements.
The payment made by participants does NOT guarantee:
* Fixed event date
* Guaranteed stage appearance
* Travel or accommodation
* Venue access alone
* Any commercial ticket entitlement
The live event is organized as an additional goodwill and recognition activity by the management.
Women Icon reserves the right to:
* Postpone or reschedule the event
* Change venue/location
* Convert the event into virtual or hybrid format
* Modify event structure/program schedule
* Conduct regional or centralized ceremonies
without prior notice depending on operational, administrative, sponsorship, venue, government regulations, weather conditions, or unforeseen circumstances.
3. Tentative Event Dates
All dates mentioned in:
* Selection confirmation letters
* Promotional materials
* Posters
* Emails
* Social media announcements
* Website content
are tentative and subject to change.
Participants acknowledge and accept that event scheduling adjustments may occur as part of large-scale event management operations.
Event delays or schedule modifications shall not be considered grounds for cancellation, refund, dispute, or chargeback.
4. Strict No Refund Policy
All fees paid to Women Icon are strictly non-refundable and non-transferable under any circumstances.
No refund requests will be accepted for reasons including but not limited to:
* Event postponement or delay
* Change of event date or venue
* Personal inability to attend
* Travel issues or visa rejection
* Health or personal emergencies
* Schedule conflicts
* Dissatisfaction regarding event timing
* Withdrawal after confirmation
* Failure to attend live event
* Misunderstanding of complimentary participation policy
Since promotional and branding activities begin immediately after confirmation/payment, the organization incurs non-recoverable administrative,media, marketing, and publicity expenses.
Therefore, once payment is completed, cancellation or refund is not possible.
5. Promotional Activities Begin Immediately
Upon payment confirmation, Women Icon may immediately initiate:
* Poster releases
* Digital promotions
* Social media campaigns
* News/media publications
* Video releases
* Public nominee announcements
* Branding and publicity activities
As these promotional services are executed digitally and administratively, the fee becomes fully utilized and non-refundable.
6. Complimentary Certificate & Trophy Policy
Certificates, trophies, mementos, gift kits, and recognition materials are complimentary honors provided by the organization as part of the award program.
The registration/promotional fee is NOT charged for the purchase of:
* Trophy
* Certificate
* Medal
* Gift item
* Stage honor materials
Women Icon reserves the right to:
* Modify trophy design, size, material, or presentation format
* Provide digital certificates where applicable
* Distribute recognition items during the event or separately
* Change complimentary items based on availability and event structure
7. Distribution of Complimentary Materials
Complimentary materials including trophies, certificates, mementos, gift kits, and other recognition items are distributed only to participants attending the live event physically.
Participants absent during the live ceremony will not be eligible for free delivery of complimentary materials.
If an absent participant requests shipment of complimentary items after the event, courier/shipping and handling charges will be applicable and must be paid in advance by the participant.
The organization shall not be responsible for:
* Courier delays
* Transit damages
* Incorrect addresses provided by participants
* Returned or unclaimed shipments
Dispatch of complimentary materials is subject to management approval and availability.
8. Chargeback & Payment Disputes
Participants agree not to initiate:
* Payment disputes
* Chargebacks
* Unauthorized refund claims
after promotional activities have commenced.
Any malicious or fraudulent chargeback attempt after receiving promotional benefits may lead to:
* Permanent disqualification
* Cancellation of recognition/title
* Blacklisting from future programs
* Legal recovery proceedings where applicable
9. Acceptance of Terms
By making payment, the participant confirms that:
* They have read and understood the complete policy
* They agree the fee is collected for promotional and branding activities only
* They understand live event participation is complimentary
* They accept that event dates are tentative
* They understand certificates/trophies are complimentary recognition items
* They accept courier charges for absent participant deliveries
* They waive any claim for refund, dispute, or chargeback
10. Management Rights
Women Icon reserves the complete right to:
* Modify event schedules
* Change venue/location
* Alter program structure
* Update policies
* Approve or deny shipment requests
* Change recognition formats
* Interpret policy terms
Management decisions shall be final and binding in all matters.
Payment Disclaimer
By proceeding with payment, you acknowledge that the fee is collected solely towards promotional, branding, media, publicity, and administrative activities. Live event participation, certificates, trophies, and recognition materials are complimentary in nature. All payments are strictly non-refundable and non-transferable.
